Practice Manager


The ideal candidate has: excellent communication, multi-tasking skill, ability to work in an environment with some distractions, detail-orientation, methodic, confidentiality skills, and a kind and compassionate demeanor. Healing begins with the client’s first contact.

  • Bachelor’s Degree in Healthcare Management or Business Administration required OR 2+ year experience in medical office work, including managing three or more staff (required).

  • Working knowledge of medical terminology (required).

  • Medical office billing experience (recommended) OR translatable accounting experience

  • Proficiency with EMR/EHR systems and software applications, including Microsoft Office Suite (required). Quickbooks experience (recommended).

  • Excellent written and oral communication skill, and people skills (required).

  • Comfort working in a mental health environment (required).

  • Experience working in the mental health field (recommended).

  • Experience with integrative or naturopathic medicine (highly recommended)


COMPENSATION AND TERMS: Position full-time, standard business hours. Compensation commensurate with experience, between $42,500 and $48,000 annually (DOE). Significant profit-sharing potential after six months, which would start around $4000 annually. PTO, health insurance, ability to work from home part-time, all available after a specified duration of employment. Room for considerable job expansion for the right person.


Mission: A practice manager is the point of contact to ensure all aspects of Amenda Clinic are running smoothly.

  • Ensure office is opened and closed daily, as per established schedules

  • Interview, hire and train new staff in accordance with HR guidelines

  • Supervise daily staffing to ensure optimal operation of the practice

  • Co-create, implement, and monitor company policies

  • Regularly review productivity and make staffing adjustments as needed

  • Monitor and approve time cards and track licensure requirements for staff

  • Conduct regular staff meetings and performance evaluations

  • Review accounts receivable reports monthly

  • Perform/and or ensure appropriate third party and patient billing

  • Oversight of legal compliance, including HIPAA, OSHA and Oregon BOLI

  • Medicinary/supplement management

  • Interface with and optimize EHR and other practice management software with staff

  • Management of new patient intake process

  • Quarterly review of web and social media presence

  • Ensure excellent delivery of patient care and customer service  

  • Fostering a comfortable, caring, and safe professional environment for both staff and patients.

Duties include: coordinating all aspects of administration and office management for this multi-practitioner clinic, managing receptionists/work-study students, oversight of medical billing and accounts, managing the medicinary, updating social media, and website, and ensuring compliance with HIPAA, OSHA, and BOLI.

Liaisons include: front desk to practitioners, between labs and practitioners, with outside practitioners and referrals, between patients and practitioners, with pharmacies, with insurance biller, and with electronic health records. We currently work with ChARM as practice management and EHR.

Position includes 4-6 hours a week of reception, and will also include interfacing with accounting, integrating new employees, scheduling patients, scheduling staff, billing insurance and patients, and working with employee contracts, medicinary, medical supply, and office supply management. The position includes all tasks required to successfully manage the operations and revenue flow of the clinic, if not already included here.
